Committee Roles

  • Provide vision and leadership to ensure the development of the club for the benefit for all members.
  • Chairing all Club Management Committee meetings, Annual General Meetings (AGM) and Emergency General Meetings (EGM). 
  • Represent the club at Regional Chair forums, attend national AGMs and liaise with other local community clubs/groups as necessary
  • Take responsibility for the Club Management Committee Meeting and the affairs of the club.
  • Oversee and guide all decisions taken by the Management Committee and sub committees and delegate, as required, special projects within the club to sub-committees or workgroups.
  • In conjunction with the Secretary, prepare and present the annual report.
  • Liaise with the Secretary on the agenda for each meeting and review minutes before they are circulated.
  • Be familiar with the Club constitution and British Triathlon guidelines, policies, and procedures.
  • Be aware of current Safeguarding legislation within the club and assist the Club Welfare Officer in their duties.
  • Mediate internal disputes.
  • Deal with club organisation and ensure the club has up to date affiliations with all relevant organisations (Triathlon England, England Athletics, Kent Country Athletics Assocation, Cycling Time Trials)
  • Handle incoming and outgoing correspondence from Secretary mailbox.
  • Ensure Club members are kept up to date with any relevant information from outside bodies that may affect them.
  • Keep all club records accurate and up to date.
  • Liaise with Chairman to organise meetings.
  • Prepare agendas and ensure minutes at all meetings are recorded and circulated.
  • Ensure all members are communicated with relevant information before and after meetings.
  • Coordinate production of the Trustees Annual Report and submission to the Charity Commission.
  • Attend Committee meetings and AGM.
  • Maintain accurate and up to date financial records for the Club.
  • Establish and maintain Club bank account(s) and banking arrangements.
  • Produce and monitor annual budget.
  • Report financial position to the committee.
  • Collect and deposit fees, subscriptions and funds.
  • Ensure systems for e-commerce and stock are correctly reconciled to financial systems.
  • Undertake ad-hoc analysis as required
  • Ensure funds are spent appropriately.
  • Pay bills incurred by the Club.
  • Completing the club’s HMRC tax return (if applicable).
  • Prepare end of year accounts and financial report for AGM.
  • Ensure all members are communicated with relevant information before and after meetings.
  • Provide Treasurers update at Committee meetings and AGM.
  • Act as the first point of contact for individuals who have queries or concerns regarding safeguarding.
  • Ensure that all club personnel who work with children / young people have received appropriate safeguarding and welfare training.
  • Facilitate the process of DBS checks, when required.
  • Receive, record and report to the Triathlon England Lead Safeguarding Officer any concerns that are expressed.
  • Keep confidential records of all related documents.
  • Ensure that the club has a safeguarding and child protection policy and procedures and that they are followed and accessible to all.
  • Be familiar with the British Triathlon safeguarding and child protection policy.
  • Ensure own safeguarding, welfare officer workshop and DBS checks are up to date.
  • Attend Committee meetings and AGM.
  • Work with Juniors Head Coach to ensure training sessions are adequately supervised.
  • Manage junior membership and fee collection through Coacha.
  • Liaise with Club Treasurer to manage the budget for the Junior Section.
  • Promote Junior membership to ensure viability and sustainability.
  • Keep junior members and parents informed of training sessions and races.
  • Work with Club Welfare Officer to ensure safeguarding training and DBS checks up to date.
  • Organise the annual Junior Aquathlon race.
  • Represent the interests of the Junior Section on the Tritons Committee including providing an update at meetings.
  • Encourage potential cross-over events and collaboration with the senior club.
  • Produce an end of year summary for the Trustees Annual Report.
  • Attend Committee Meetings and AGM
  • Deal with all club membership including maintenance of list of club members.
  • Keep all club records accurate and up to date.
  • Handle membership related email queries.
  • Liaise with Club Secretary as necessary.
  • Provide membership update at Committee Meetings and attend AGM.
  • Handle new member enquiries through enquiries mailbox.
  • Help new members settle into the club.
  • Manage booking of bike boxes through the website and liaise with club members to ensure return of boxes.
  • Attend committee meetings and AGM.
  • Act as the single point of contact for all coaching issues and questions
  • Chair the coaching sub-committee
  • In conjunction with the coaching sub-committee devise club coaching strategy, propose additional ‘one off’ coaching events for the club members
  • Report to the club committee on decisions, changes in strategy, coached sessions and relevant coaching decisions
  • Support novice ride captain and ride coordinator in their duties
  • Support the coaches in the weekly coached sessions as required
  • Review current club coached sessions and ensure they meet club members’ requirements
  • Define club coaching budget requirements
  • Engage with members to understand how the club can refine and improve its offer
  • Organise monthly 5k handicap.
  • Identify opportunities for other Club social events.
  • Work closely with the Secretary to publicise Club events.
  • Motivate Club members to attend social events.
  • Organise annual celebration dinner including calculating results for awards and arranging prizes.
  • Ensure as far as possible events are put on within any set budgetary limits.
  • Attend Committee meetings and AGM.
  • Negotiate club discounts with retailers and suppliers
  • Manage booking of bike boxes through the website and liaise with club members to ensure return of boxes
  • Manage orders of Club kit by members including maintenance of stock levels
  • Liaise with kit suppliers and Treasurer on pricing of items and purchase decisions when appropriate
  • Arrange when required purchase of additional kit required for club e.g. Turbo trainers, swimming accessories
  • Maintain the Clubs on-line shop
  • Ensure all members are communicated with relevant information before and after meetings

  • Cross Country and Road Race captain
  • Keep up to date the UK Athletics membership list using the online portal and liaise with the treasurer to make sure all monies owed are paid.
  • Organise teams for Kent XC league and championship races and submit the entry forms to the relevant organising bodies.
  • Update members with upcoming fixtures and relevant information.
  • Liaise with treasurer over XC fees.
